  • Programme preferences such as coach, group, training start date, and related enrolment notes.
  • Contract, signature, billing, and support records created after application approval.

Why the information is used

  • To evaluate and process swim lesson applications and place swimmers in the correct programme.
  • To contact families about approvals, contracts, safety issues, billing, scheduling, and operational updates.
  • To maintain swimmer safety, medical awareness, and emergency response readiness.
  • To create contracts, maintain attendance and billing records, and support Xero-linked administration where applicable.

Who may access the information

  • Authorised admin staff, coaches, accounting staff, and system support personnel only to the extent required for their role.
  • Medical or emergency responders where disclosure is reasonably necessary to protect the swimmer.
  • Service providers used for club administration, document generation, and accounting workflows where required for legitimate club operations.

Member acknowledgements
